Middle Tennessee State University Lambda Association Standard Operation Procedures
Statement of Purpose
Lambda exists to provide an outlet for Gay, Lesbian, Bisexual, and Transgender (GLBT) persons and supporters of equal rights to discuss various GLBT issues. Above and beyond any reason, Lambda exists to provide support for the members of the GLBT community at MTSU. Lambda is a non-profit, tax-exempt organization.
Officer Responsibilities
- President
- The President is ultimately responsible for Lambda’s effectiveness. The President will be the official spokesperson for Lambda. (S)he will maintain contact with other GLBT collegiate and state organizations. All matters dealing with official correspondence, event scheduling, or expenditures will go to the President for approval.
- The President should be chosen for his/her abilities to be an effective speaker, to relate to the members, and to be a leader.
- Anyone elected to the office of President should be prepared to spend at least eight (8) hours per week performing these duties.
- Vice President
- The Vice President will fill in for the President when (s)he is unable to attend in person. The Vice President will be the Chairperson of the Uniform Equality Committee (UEC), the activist side of Lambda. (S)he will be responsible for all peer-support programs and assisting in making Lambda available to any individual who can benefit from its support. The Vice President will be expected to keep in close contact with the other officers that report to him/her so that (s)he can keep the President briefed. The President will also delegate specific duties to the Vice President for completion.
- The Vice President will report directly to the President.
- Anyone elected to the office of Vice President should be prepared to spend at least six (6) hours per week performing these duties.
- Presidential Advisor
- The Presidential Advisor will be a previous Lambda officer who will assist the President with the normal functions of Lambda. The President will also delegate specific duties to the Presidential Advisor for completion.
- The Presidential Advisor will report directly to the President.
- Anyone elected to the office of Presidential Advisor should expect to spend at least six (6) hours per week performing these duties.
- Secretary
- The Secretary will keep the official record of all Lambda meetings and events. (S)he will be the keeper of Lambda’s history and to that end will maintain an archive of Lambda newsletters, fliers, list of previous officers and members, photo scrapbook, news clippings, and a description of important events. The Secretary has the responsibility of keeping informed of what all the other officers are doing.
- The Secretary will be responsible for the Lambda mailbox and email account. (S)he will deliver all correspondence to the respective officer within two (2) days.
- The Secretary reports directly to the Vice President.
- Anyone elected to the office of Secretary should be prepared to spend at least six (6) hours performing these duties.
- Treasurer
- The Treasurer is responsible for keeping an accurate record of the monetary transactions of Lambda. The Treasurer’s main purpose is to make sure that funds are available for all budgeted events. (S)he will keep the officers advised on Lambda’s monetary situation at all times.
- The Treasurer has the responsibility for creating the budget for each semester. (S)he will work with the President to complete the budget one (1) week before the SAF deadline. The budget will then be voted on by the officers and needs a two-thirds (2/3) majority to pass. The Treasurer will be responsible for any fund raising events that are held.
- The Treasurer will report a list of paid members to the Secretary as needed.
- The Treasurer reports directly to the President.
- Anyone elected to the office of Treasurer should be prepared to spend at least five (5) hours per week performing these duties.
- Public Relations Officer
- The Public Relations Officer is responsible for all advertising on and off campus. (S)he will make sure that all advertisements of meetings and events are out one (1) week prior to the meeting or event (including sending an email announcement). The Public Relations Officer may co-opt individuals to help post advertisements as needed. All advertisements will contain the exact date, location, and time of the event, plus Lambda’s email address.>
- The Public Relations Officer will work with the Secretary on the Lambda newsletter. (S)he will also be responsible for all other publications that should be needed throughout the year. The Public Relations Officer will work with the Vice President to ensure that Lambda has a presence in the community (e.g., community service, talking with GLBT teens).
- The Public Relations Officer will report directly to the Vice President.
- Anyone elected to the office of Public Relations Officer should be prepared to spend at least six (6) hours per week performing these duties.
- Web Designer
- The Web Designer should be knowledgeable in computer systems. The Web Designer will be responsible for maintaining the Lambda web site at http://www.mtsu.edu/~mtlambda. (S)he will work with the Secretary to ensure that all information provided on the web site is accurate at all times.
- The Web Designer reports directly to the Vice President.
- Anyone elected to the office of Web Designer should be prepared to spend at least five (5) hours per week performing these duties.
Meetings
General meetings will begin the second week of each Fall or Spring semester. There will be at least one (1) solidarity meeting each month. No serious business will be conducted during this meeting. This meeting will be to show movies, attend other organization meetings, have discussion sessions, guest speakers, or to go out and do something fun as a group.
There will be at least one (1) meeting dealing with Lambda business each month. Any official business that needs to be addressed will be handled during this meeting. Any grievances will be addressed at this meeting as well. Any necessary voting by the membership will occur at this meeting.
There will also be one (1) meeting for officers only each month.
